OFX, Open Financial Exchange, is the file your bank would hand you if its download went back far enough. For older statements, closed accounts and banks with a short download window, the PDF is what exists. Converting it to OFX means the import has no column mapping and no date format prompt: the file names every field, and every date is written year first, so a day-first statement can never arrive with its day and month swapped.

How it works

  1. Step 1: Convert your statement

    Upload the PDF, scan or photos on the converter page. The rows are read, then the running balance is rebuilt and compared with each balance the bank printed. This is the step that uses pages.

  2. Step 2: Check it in Excel

    Download the review workbook and correct any row marked Review this row. On the Statement details sheet, type the Account number and check Account type and Currency. The currency has to match the account you import into.

  3. Step 3: Upload it, get your files

    Upload the saved workbook on the same page and press OFX (Xero and others). Every other format comes from the same workbook without using pages.

Import the OFX file into Xero

  1. In the Accounting menu, select Bank accounts.
  2. If the account is not in Xero, add it by hand with the statement's currency. Choose Bank as the account type, or Other when the list offers no Bank. Credit card is for card statements only: a bank statement imported into one arrives with every sign reversed.
  3. Click the menu icon on the account and select Import a Statement.
  4. Drop the .ofx file into File to upload and click Next.
  5. Clear the checkbox on anything you are leaving out, then Complete import.
  6. Read the statement balance Xero shows against the closing balance printed on the PDF.

Two things look odd on a first import and are expected. The payee is capped at 32 characters by the OFX format, and the full description travels in the memo field, which Xero prints in its Description column. And on an account created at zero, Xero shows the movement rather than the closing balance, because an OFX file carries transactions rather than an opening position. Import the OFX file into MYOB

  1. MYOB Business: go to Banking, then Bank transactions, then the import option, and choose the .ofx file. MYOB Business takes OFX or QIF.
  2. AccountRight: go to File, then Import Data, then Bank Statements, and choose the .ofx file. AccountRight also reads QFX, QIF and OFC.
  3. Match and allocate as you normally would. Descriptions arrive as the bank printed them, so your bank rules have the text they expect.

MYOB imports transactions dated from your opening balance month onward and after any lock date, so on a catch-up job convert from that month forward. Import bank statements into MYOB has the details, and PDF to QIF covers the other format MYOB takes.

Other software that reads OFX

OFX is the most widely read bank file format outside the Intuit family. Sage and FreeAgent import it through their bank statement upload, Wave accepts a .ofx statement, and QuickBooks Online accepts one through Upload from file, though for QuickBooks the QBO file is the native choice. The two Intuit variants, QBO and QFX, are the same standard with Intuit identifiers added. QBO vs OFX vs QFX vs QIF explains where each one came from.

Before you import

  • Create the account first, in the statement's currency. An import cannot create an account, and the currency in the file has to match the account's.
  • One file per account, one statement period per file. Where a live bank feed already covers part of the period, end the statement the day before the feed's history begins.
  • A long run of statements. Xero asks for a file of more than 1,000 transactions to be split, so a busy year goes in as several statement periods.
  • Accented descriptions. OFX 1.02 declares plain ASCII text, so accented letters are written without their accents: é becomes e. When the exact spelling matters, take the QIF for MYOB or the CSV for import for Xero.
  • Card statements. Set Account type to Credit card before you upload the workbook, and import into a credit card account. Credit card statements to Excel.
  • Large files. A PDF of up to 100 pages and 50 MB converts in one go, with up to 80 transactions on a page.

Questions

Does Xero accept an OFX file made from a PDF statement?

Yes. Import a Statement accepts .ofx files, and Xero's own guidance puts OFX ahead of QIF, QFX, CSV and QuickBooks files for a manual import. The rows arrive with the dates, amounts and signs you confirmed in the review workbook.

Should I use OFX or QIF for MYOB?

Both import. OFX carries the account number and the currency and needs no date format choice. QIF needs neither the account number nor the currency, keeps accented letters, and writes dates in the order you set. MYOB Business takes either one.

What does the OFX file need from me?

Four fields on the Statement details sheet: the opening balance, the account type, the currency and the account number. The first three are filled in from the statement where it prints them; the account number you type in, digits only.

Will Xero import the same transactions twice?

Xero recognizes transactions already imported from other files and leaves them out. Every row in the OFX file also carries an identifier derived from the row itself, so the same statement converted again produces the same identifiers. The overlap to watch is with a live bank feed, which is why a statement should end where the feed's history begins.

Can I convert a credit card statement to OFX?

Yes. Set Account type to Credit card on the Statement details sheet and the file is written as a card statement. Import it into a credit card account, where purchases arrive as money spent and payments as money received.

Is OFX the same as QBO or QFX?

They share one standard. QBO and QFX are OFX with Intuit's identifiers added for QuickBooks and Quicken. Xero reads all three, and recommends OFX. Each is a separate download from the same workbook, and none of them uses pages.
